We are committed to handling personal data responsibly and in compliance with the Personal Data Protection Act 2012 of Singapore ("PDPA") and applicable subsidiary legislation.

1. Data controller

The data controller responsible for personal data processed through this Website and our client services is:

Reach Vertex Pte. Ltd.
UEN: 202138476K
Registered address: 16 Raffles Quay, #33-03 Hong Leong Building, Singapore 048581
Email: [email protected]

2. Scope of this policy

This policy applies to personal data we collect through the Website, contact forms, email correspondence, phone calls, in-person meetings, and service engagements. It does not apply to third-party websites linked from our Website, nor to personal data processed by advertising platforms (such as Google or Meta) under their own privacy policies when you interact with ads we manage on behalf of clients. Where we process personal data on behalf of clients as part of campaign management, the client remains the primary data controller for end-user data; we act as a data intermediary or processor according to contractual terms.

3. Personal data we collect

Depending on your interaction with us, we may collect the following categories of personal data:

  • Identity and contact data: name, job title, company name, email address, phone number, postal address.
  • Enquiry and communication data: messages submitted via contact forms, email content, meeting notes, and service preferences.
  • Technical and usage data: IP address, browser type, device information, pages visited, referring URLs, session duration, and cookie identifiers (see our Cookie Policy).
  • Client service data: account credentials for advertising platforms (stored securely and accessed only by authorised personnel), campaign performance data, audience lists provided by clients, and billing information.
  • Consent records: timestamps and details of PDPA consents provided through forms or agreements.

We do not intentionally collect sensitive personal data (such as NRIC numbers, financial account details beyond billing necessities, or health information) through the Website. Please do not submit sensitive data via contact forms.

4. How we collect personal data

We collect personal data through the following means:

  • Direct submission when you complete our contact form, send email, call our office, or meet with us in person.
  • Automated collection through cookies and similar technologies when you browse the Website (subject to your cookie preferences).
  • Client-provided data when you engage our services and share audience lists, CRM exports, or platform access.
  • Publicly available sources such as LinkedIn profiles or company websites, used solely for legitimate business development with appropriate care.

5. Purposes of collection, use, and disclosure

We collect and use personal data for the following purposes, and we will not use your data for purposes incompatible with those listed below without notifying you and, where required, obtaining fresh consent:

  • Responding to enquiries and providing information about our services.
  • Conducting reach audits, preparing proposals, and delivering contracted marketing services.
  • Managing client accounts, invoicing, and administrative communications.
  • Improving the Website, analysing usage patterns, and enhancing user experience (where analytics cookies are consented to).
  • Complying with legal obligations, responding to regulatory requests, and protecting our legal rights.
  • Sending service-related updates; marketing communications only where permitted by law and, where required, with your consent.

We may disclose personal data to the following categories of recipients, subject to appropriate safeguards:

  • Service providers who assist with hosting, email delivery, analytics, CRM, and payment processing — bound by confidentiality and data protection obligations.
  • Advertising platform operators when configuring campaigns on your behalf (data shared is limited to what is necessary for campaign execution).
  • Professional advisers including lawyers and accountants, when required for legitimate business purposes.
  • Regulatory authorities or law enforcement when required by applicable law or court order.

We do not sell personal data to third parties.

6. Legal basis and consent

Under the PDPA, we rely on one or more of the following bases for processing personal data:

  • Consent: where you have provided clear consent, such as ticking the PDPA consent checkbox on our contact form or agreeing to service terms that include data processing provisions.
  • Legitimate interests: for responding to unsolicited business enquiries, improving our Website, and protecting against fraud — balanced against your rights and expectations.
  • Contractual necessity: where processing is required to perform a contract with you or take pre-contractual steps at your request.
  • Legal obligation: where we must retain or disclose data to comply with Singapore law.

You may withdraw consent at any time by contacting us at [email protected]. Withdrawal does not affect the lawfulness of processing prior to withdrawal and may limit our ability to provide certain services.

7. Data retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. Typical retention periods include:

  • Contact form submissions: up to twenty-four months from last interaction, unless a client relationship is established.
  • Client service records: duration of engagement plus seven years for contractual and tax compliance purposes.
  • Cookie consent preferences: six months from the date of your choice (see Cookie Policy).
  • Website analytics data: aggregated and anonymised where possible; raw logs retained up to twelve months.

When personal data is no longer required, we securely delete or anonymise it in accordance with our data retention schedule.

8. Data security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, or destruction. These measures include access controls limiting data to personnel who need it, encrypted transmission where supported, secure storage for credentials, regular review of access permissions, and staff training on data protection obligations. While we strive to protect your data, no method of transmission over the Internet or electronic storage is completely secure; we cannot guarantee absolute security.

9. International transfers

Some service providers we use may process data outside Singapore, including in the United States and European Union. Where personal data is transferred overseas, we ensure that the recipient provides a standard of protection comparable to that under the PDPA, through contractual clauses, certification schemes, or other approved mechanisms.

10. Your rights under the PDPA

Subject to exceptions under the PDPA, you have the following rights regarding your personal data:

  • Access: request confirmation of whether we hold personal data about you and obtain a copy.
  • Correction: request correction of inaccurate or incomplete personal data.
  • Withdrawal of consent: withdraw consent for processing that relies on consent, as described above.
  • Data portability: where applicable, request transfer of data you provided in a structured, commonly used format.

To exercise these rights, contact us at [email protected] with sufficient detail to identify you and your request. We will respond within thirty days, or inform you if an extension is required. We may charge a reasonable fee for manifestly unfounded or excessive requests.

If you believe we have not handled your personal data appropriately, you may contact the Personal Data Protection Commission (PDPC) of Singapore. We encourage you to contact us first so we can attempt to resolve your concern.

11. Children's privacy

Our Website and services are directed at businesses and professionals. We do not knowingly collect personal data from individuals under eighteen years of age. If you believe we have inadvertently collected such data, please contact us and we will promptly delete it.

12. Third-party links

The Website may contain links to third-party websites, including advertising platforms, social media, and partner sites. We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before providing personal data.

13. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The "Last updated" date at the top indicates when the policy was most recently revised. Material changes will be communicated via the Website or direct notice where appropriate. Continued use of the Website after changes constitutes acceptance of the updated policy.
